How to Organise a Republic Day Reception or Ball: A Guide for Schools

As Republic Day (29 October) approaches, the preparation season begins for schools, parent associations, societies and institutions across Turkey. A Republic Day reception or ball is both an official ceremony and an evening that students, parents and staff celebrate together. For committees planning the night in 2026, when Turkey marks the 103rd anniversary of the Republic, this guide covers every step from the running order and venue to invitations and dress code.

Reception or ball: what is the difference?

Both celebrate the same holiday, but in different formats:

  • Republic Day reception: guests are received standing, with a short ceremony, official speeches and refreshments. It usually lasts one to two hours and is favoured by institutions, professional chambers and school administrations.
  • Republic Day ball (“Cumhuriyet balosu”): an evening that continues after the ceremony with dinner, music and dancing. It carries on the tradition of the balls held at Ankara Palas in the early years of the Republic, and schools often organise it for high-school students together with their parents.

The participant profile, budget and length of the programme decide which one suits you. Some institutions combine them: an evening that opens with a reception and continues with the ball.

When should it take place?

29 October is a public holiday and the afternoon of 28 October is a half-day holiday. Many schools therefore hold their celebration on the days before, most often in the last week of October. Institutions may prefer the evening of the holiday itself or a nearby weekend. Whichever date you choose, bear in mind that days close to the holiday and evening slots fill early at venues; settling the date in September gives you choice.

Preparation timeline

5–6 weeks ahead

  • Form the event committee: school management, a parent association representative and student representatives.
  • Decide the format: reception, ball, or both?
  • Estimate the number of participants and book the venue.

3–4 weeks ahead

  • Set the running order and stage performances; schedule rehearsals for the choir, poetry readings, folk dancers or waltz group.
  • Prepare the invitations and finalise the protocol list.
  • Choose the refreshment or dinner menu with the venue.

Final 2 weeks

  • Hand in the films and photos to be shown on the LED screen.
  • Confirm the final headcount to the venue and share transport and parking information with parents.
  • Write the stage flow minute by minute and share it with the host, the technical crew and the venue coordinator.

Running order and protocol

The ceremony follows a well-known sequence. A typical Republic Day reception or ball runs like this:

  1. Welcome: guests are received in the foyer, with a photo corner and welcome refreshments.
  2. Moment of silence and national anthem: once guests are seated, the ceremony opens with a moment of silence in memory of Atatürk and his comrades, followed by the national anthem, the İstiklal Marşı.
  3. Opening and official speeches: speeches are kept short, usually ordered by rank within the institution, with the most senior guest speaking last.
  4. Performances: poetry, choir, folk dances, a short Republic-themed film or a photo slideshow.
  5. Reception or dinner: refreshments are served at a reception; at a ball, dinner service begins.
  6. The ball: an opening waltz, then music and dancing. At school balls, dance performances prepared by students and teachers are the most anticipated moment of the night.
  7. Closing: a group photograph and a thank-you speech.

The seating of protocol guests and the order of speeches should be fixed in writing in advance, and the host’s script should follow the same order.

What to look for in a venue

  • Capacity and layout: check the cocktail capacity for a reception and the round-table capacity for a ball, and remember to leave room for a dance floor.
  • Stage and sound: a stage large enough for the ceremony, speeches and performances, a sound system that reaches every corner evenly, and a screen or LED wall for films.
  • Security: the first question parents ask about student events. Controlled entry, security staff and a well-lit car park matter.
  • Access and parking: on nights when parents drop off and collect students, proximity to main roads and a large car park are decisive.
  • Refreshments and kitchen: a venue with its own kitchen plans the menu around the age group and the time of the programme.
  • Welcome area: a foyer where guests gather before entering the hall and where a photo corner can be set up.

Invitations, dress code and theme

Invitations: include the date, time, address, dress code and an RSVP deadline. Republic Day balls often feature red and white, typefaces from the early Republican era and art deco ornaments.

Dress code: suits and smart attire are common at receptions. At a Republic Day ball, long or midi evening dresses for women and suits or tuxedos for men are the usual choice, and red, white and black suit the theme of the night. With a period theme, the clean, elegant lines of the 1920s and 1930s and accessories such as gloves, pearls and fedoras add atmosphere. For school balls, stating the dress code clearly on the invitation makes preparation easier for students and parents.

Theme and decor: red and white roses, gold details, an exhibition corner of historical photographs and an LED presentation on the founding years of the Republic give the decor meaning.

Music and dance

The ideal playlist moves from the national anthem and Republic marches during the ceremony, to background piano or strings during the reception, and on to an opening waltz, dance music from the early Republican years and contemporary songs at the ball. If you are planning a waltz or period dance performance, start rehearsals a month ahead and ask the venue about rehearsing on the stage.

Refreshments and menu

For a reception, canapés, desserts, fruit and hot and cold drinks are enough. For a ball, a seated dinner is preferred. When students attend, the menu should be simple and suitable for everyone, and special dietary needs should be asked about at the invitation stage.
